System Set-up

Metadata: The organization needs to identify which metadata fields should be used to describe assets.  Once defined, you will need to be determine which fields will be mandatory, which fields will be represented in drop downs, which fields will not be hidden or exposed when certain parameters are met.

Access: Do all users see all assets?  Can all users download? The organization may categorize users by roles (corporate users, vendors), by geography (North America, Europe), or by other qualifiers.  Rules will need to be configured to enforce the specified access.

Organizational Planning

Before deployment, the organization needs to determine how the DAM solution is going to be supported.

• Who will manage user access and user accounts?
• Who will upload (ingest)?
• Who will do training?
• Who will provide ongoing support? Aggregate and manage defects and enhancements?
• Who will perform testing?

Communications and Training

The organization needs to reach out to intended users of the DAM solution, letting them know when the system will be available and when they will be trained to use it.

Pilot

The organization should identify a subset of users that can test the deployment before a full roll-out is planned.
