{"id":1039,"date":"2024-07-03T14:42:18","date_gmt":"2024-07-03T18:42:18","guid":{"rendered":"https:\/\/harttalbot.com\/?p=1039"},"modified":"2024-07-03T14:42:18","modified_gmt":"2024-07-03T18:42:18","slug":"dont-forget-why-you-have-a-dam","status":"publish","type":"post","link":"https:\/\/harttalbot.com\/index.php\/2024\/07\/03\/dont-forget-why-you-have-a-dam\/","title":{"rendered":"Don&#8217;t Forget Why You Have a DAM"},"content":{"rendered":"\n<p class=\"wp-block-paragraph\">Here are the two simple questions that users ask before they search for a digital asset in your DAM:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Can I find the assets I need?<\/li>\n\n\n\n<li>Can I use the assets I find?<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Seems straightforward, right?&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">But in the day-to-day rush of activity to support our DAM, we often lose sight of these concerns.\u00a0 And they are the <em>existential reasons <\/em>for having a DAM.<\/p>\n\n\n\n<h1 class=\"wp-block-heading\">Can I find the assets I need?<\/h1>\n\n\n\n<p class=\"wp-block-paragraph\">The first question is \u201cCan I find the asset I need?\u201d There are two reasons why the user <em>can\u2019t<\/em> find the asset they need, and the first reason is clearly an issue: the asset is NOT in the DAM.&nbsp; Why?&nbsp; Well, there could be several reasons: the asset belongs to some other user or company, or perhaps the asset has not been ingested into the DAM.&nbsp; You follow up with the user to provide more information: can they provide a screenshot of the asset. Where did they find it?<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Occasionally, the asset resides on another digital property owned by your organization.&nbsp; Perhaps the user found it on your social media site, or on a company website located in a different country.&nbsp; If this happens repeatedly, we recommend an <em>Asset Audit<\/em>.&nbsp; This is an audit of assets on all the digital properties owned by the company. Often, other departments or other regions don\u2019t realize they need to store their assets in a DAM.&nbsp; See our blog about Conducting Asset Audits.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If the assets ARE in the DAM, but the user can\u2019t find them, it\u2019s likely your DAM metadata needs a \u201ctune-up\u201d.&nbsp; Interview the user doing the search.&nbsp; Find out what terms they are using for their search and update the metadata accordingly.&nbsp;<\/p>\n\n\n\n<h1 class=\"wp-block-heading\">Can I use the assets I find?<\/h1>\n\n\n\n<p class=\"wp-block-paragraph\">Once the user has found the asset, are they confident that they can use the asset for their intended purpose?&nbsp; In my experience, this has been the toughest nut to crack, especially when asset ingesting is <em>distributed<\/em>, which means that the creator of the asset is uploading to the DAM versus a <em>centralized<\/em> admin support team doing the job.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In this case, the admin team should design a comprehensive set of <em>mandatory<\/em> metadata fields that document usage and talent rights on ingest.
